Billing the Right Account When Users Belong to Many Workspaces
By the Orvlin team · · 2 min read
Usage attribution across workspaces: what to decide
A user moves from one workspace to another midway through the month. If billing resolves ownership using today’s membership, last week’s activity can land on the wrong customer. Historical attribution should not depend on a mutable profile.
Model the hierarchy explicitly: person, workspace, contract and paying account may be different entities. The usage record should carry the billing account selected at occurrence, plus enough references to investigate how that selection happened.
A concrete scenario
Sam belongs to workspaces Red and Blue, both paid by parent company Green. Workspace-level usage reporting can retain Red and Blue while rating rolls up to Green. If Blue later becomes an independent customer, old events should retain the previous billing relationship.
A detail teams often miss
Email addresses are weak billing keys. People change employers and aliases, while a customer may have hundreds of users. Use stable account IDs and a reviewed mapping process for mergers or transfers.
Before you put this into production
- Document the hierarchy between workspaces and contracts.
- Snapshot billing ownership on each action.
- Test membership transfers near a period boundary.
- Reconcile unmapped usage before invoices finalize.
Frequently asked questions
- Can one payer cover multiple workspaces?
- Yes, if the contract and account model support a rollup. Keep workspace visibility so the payer can understand where the aggregate usage came from.
