Billing Platform Exit Planning: Ask About Exports Before Signing

Billing vendor exit plan: what to decide

A team can export invoice PDFs but not the rules that produced them. That helps preserve documents but does not enable a future system to reproduce balances or ongoing terms. Portability requires more than one download button.

Ask for formats, identifiers, data dictionaries and access to historical versions. Identify retention limits and migration responsibilities. Test a sample export and make sure another system or analyst can interpret it.

How this works in practice

An opening credit balance of 8,000 units needs grant origins, restrictions and expiry to migrate faithfully. A CSV containing only account ID and total balance omits important active obligations.

What can go wrong

Avoid assuming data export rights imply effortless migration. Formats, semantics and missing history still require work. Include expected effort in the ownership comparison.

Questions for your team

  • Inventory data needed for continuity.
  • Request sample exports and field definitions.
  • Review retention and contractual access terms.
  • Test reconstructing one account’s active state.

Frequently asked questions

Are PDFs enough for a billing exit?
They preserve issued documents, but active contracts, usage history and balances usually require structured records as well.
